Access is restricted to authorised accounts and assigned staff roles. The portal uses North Vale email-and-password sign-in. Hosting, application records and document storage use OpenAI Sites and Cloudflare services. Movement records and their amendments are retained for at least six years under the supplied permit; additional legal or regulatory retention may apply. Do not upload personal identity documents or unrelated personal information.

Staff account records include the sign-in email, name, role and password verification records. Password verification uses salted, one-way hashes. An essential session cookie keeps an authorised staff member signed in; session and security records support expiry, sign-out and protection against repeated sign-in attempts. Security events, including password changes and access changes, are recorded in the audit history.
